Office Interior Design in Kuala Lumpur

Your office is more than a place people come to work. It shapes how your team thinks, collaborates, and performs. It tells clients who you are the moment they step through the door. And in a city like KL, where talent competition is fierce and hybrid work is the norm, the quality of your workspace can be a genuine competitive advantage.

I’m Minal Tejani, a MIID-certified interior architect based in Bangsar, KL, with over 15 years of experience designing workplaces that actually work. My corporate clients include Firmenich, Axiata, and TNB — organisations that understand the connection between environment and performance.

Why Office Design Matters More Than Ever

The pandemic permanently changed how we think about offices. The old formula of rows of cubicles and a corner room for the boss is gone. Today’s office needs to earn people’s commute. It needs to offer something they can’t get at home — purposeful collaboration spaces, focused work zones, social connection, and a sense of belonging.

At the same time, businesses still need cost-effective, operationally efficient spaces. That tension between employee experience and commercial reality is exactly where good design makes the difference.

Types of Offices I Design

Corporate Headquarters

Large-format offices for multinational and national organisations. These projects involve stakeholder management across multiple departments, brand integration at every touchpoint, executive suites alongside open-plan teams, and reception areas that set the tone for the entire company.

My work with Firmenich — a Swiss multinational specialising in fragrances and flavours — required understanding how a global brand translates into a local workspace. The design needed to reflect their commitment to innovation and sensory experience while meeting the practical demands of a working laboratory and office environment.

For Axiata, one of Asia’s largest telecommunications groups, the challenge was designing a headquarters that could represent a company operating across multiple countries while remaining functional for hundreds of employees working across different divisions daily.

SME Offices

Small and medium enterprises have different priorities. Budgets are tighter, but the impact of good design can be proportionally greater. I help SME owners create offices that:

  • Maximise every square foot of leased space
  • Project professionalism to visiting clients
  • Support growth without requiring a full renovation when you add staff
  • Balance private offices with collaborative areas based on your actual work patterns

Co-Working and Flexible Workspaces

The co-working sector in KL continues to evolve beyond the generic hot-desk model. Operators now need differentiated spaces that attract specific tenant profiles. I design co-working environments with clear zoning between focused and social areas, acoustic privacy solutions for calls and meetings, flexible furniture systems that allow reconfiguration, and distinctive identity that separates your space from competitors.

Home Office Conversions

Post-COVID, many professionals and business owners need dedicated workspaces at home. This isn’t about putting a desk in the spare room — it’s about creating a space with proper ergonomics, adequate lighting, acoustic separation from the household, and video conferencing backgrounds that look professional.

What Makes Office Design Different

Office interior design is a specialist discipline. It overlaps with residential design in some areas, but the priorities and technical requirements are distinct.

Ergonomics and Wellbeing

Malaysian employees spend 8 to 10 hours a day in the office. Poorly designed workstations lead to fatigue, back problems, and reduced productivity. I specify task chairs, desk heights, monitor positions, and lighting levels based on established ergonomic standards — not just what looks good in a photo.

Acoustics

Open-plan offices fail when acoustics are ignored. Speech privacy, noise control between zones, and the right balance of hard and soft surfaces all require careful planning. I incorporate acoustic panels, ceiling treatments, strategic layout planning, and sound masking where appropriate.

IT and Data Infrastructure

Every modern office runs on connectivity. Cable management, server room cooling, power distribution, network point locations, and AV integration for meeting rooms all need to be coordinated with the design from day one — not retrofitted after construction.

Brand Identity

Your office should feel like your company. Colours, materials, graphics, spatial flow, and even the scent and soundtrack of your reception area all contribute to brand experience. For client-facing businesses, this is critical. For internal culture, it’s just as important.

Compliance: DOSH and BOMBA

Malaysian offices must comply with regulations from the Department of Occupational Safety and Health (DOSH) and the Fire and Rescue Department (BOMBA). Requirements include minimum aisle widths, emergency exit provisions, fire-rated materials, sprinkler clearances, and occupancy load calculations. I integrate these requirements into the design from the start rather than treating compliance as an afterthought.

Designing for Hybrid Work

The hybrid model — where employees split time between office and home — demands a fundamentally different approach to office planning. Traditional space planning based on one desk per employee wastes money and floor space.

I help organisations right-size their offices by:

  • Analysing actual attendance patterns and peak occupancy
  • Designing activity-based work zones (focused, collaborative, social, quiet)
  • Implementing hot-desking and desk booking systems where appropriate
  • Creating meeting rooms equipped for mixed in-person and remote participation
  • Ensuring the office experience justifies the commute with amenities and environments employees genuinely value

Technology Integration for Hybrid

Every meeting room needs to be hybrid-ready. That means integrated screens, quality audio systems, proper camera angles, and lighting that works for video calls. I work with AV consultants to specify solutions that are reliable and user-friendly — not just impressive on paper.

Firmenich Corporate Office

Firmenich is a global leader in fragrances and flavours, headquartered in Geneva. Their KL office needed to balance the sensory, creative culture of the brand with the precision and compliance required for a multinational corporation. The design integrated laboratory-adjacent workspaces, collaborative zones for creative development, and client-facing presentation areas.

Axiata Corporate Headquarters

Axiata Group Berhad operates across South and Southeast Asia with over 150 million customers. Their headquarters required a design that could serve as a cultural anchor for a diverse, multinational team while supporting the operational demands of a major telecommunications company.

TNB (Tenaga Nasional Berhad)

As Malaysia’s national electricity utility, TNB’s workspace requirements included stringent security protocols, operational control environments, and spaces that reflect the organisation’s role as a critical national infrastructure provider.

Frequently Asked Questions

How long does an office renovation take in KL?

A typical office fit-out of 3,000 to 5,000 square feet takes 8 to 14 weeks for construction, plus 4 to 6 weeks for design development beforehand. Larger projects or those requiring landlord approvals may take longer. I provide a detailed timeline at the start of every project.

Can you work within our landlord’s building management requirements?

Yes. Most commercial buildings in KL have specific rules about construction hours, material deliveries, noise levels, hot work permits, and reinstatement obligations. I coordinate with building management as a standard part of the process.

Do you handle the renovation or just the design?

I offer both design-only and full design and build services. For most office projects, clients prefer the turnkey approach — one point of contact managing design, construction, and handover.

What is DOSH compliance and do we need it?

All workplaces in Malaysia must comply with the Occupational Safety and Health Act 1994. This covers ventilation, lighting, ergonomics, emergency exits, and workplace safety. Yes, you need it, and I build compliance into every design.

Should we plan for future headcount growth?

Absolutely. I always discuss your 3 to 5 year growth projections during briefing. The design can incorporate expandable workstation zones, flexible furniture systems, and modular partitions that allow reconfiguration without a full renovation.

How do I get started?

Send me a WhatsApp message with your office location, approximate size, and timeline. I’ll arrange a site visit and initial consultation to understand your requirements before providing a proposal.
